QuickBooks only pulled 90 days of bank history? Here's how to import the rest.

Connecting a bank feed usually brings in only recent transactions. For a catch-up, a new client, or last year's books, you need to upload the older history yourself. There are three ways to do it.

1

Check whether your bank offers an older download

Sign in to your online banking and look for Download transactions or Export. Many banks let you download 12–24 months as QBO (Web Connect), QFX or CSV. If yours does, this is the cleanest route: in QuickBooks Online go to Banking → Transactions → Link account ▾ → Upload from file and pick the file.

If your bank only offers older history as PDF statements, use option 2 or 3.

2

Try QuickBooks’ own PDF statement upload

Intuit's help documentation says QuickBooks Online can now read an uploaded PDF or image statement with AI, provided the statement is in English. It is worth trying first because it is built in.

Like any automated extraction, check the result: compare the imported total for each month with the statement's ending balance before you accept the transactions.

3

Convert the PDFs to a .QBO file with a balance check

If the built-in upload misreads a statement, the statement isn't in English, you use QuickBooks Desktop or Xero, or you have many months to load, convert the PDFs to a .QBO file first.

  • QuickFinSync converts the statement in your browser, so the PDF is never uploaded to our servers.
  • It compares beginning balance + deposits − withdrawals with the statement ending balance and shows any difference before you download.
  • Scanned or photographed statements can be read with OCR.
  • The free plan includes 3 statement conversions a month with no sign-up; multi-month batches are part of Pro or the 7-day pass.

Avoid duplicates

  • Find the date of the oldest transaction your bank feed imported.
  • Make the file you upload end the day before that date. Overlapping dates cause duplicates.
  • After importing, reconcile each month against its statement ending balance.

Using QuickBooks Desktop?

Import a .QBO file under File → Utilities → Import → Web Connect Files, then choose the matching bank account. The same duplicate rule applies.

Frequently asked questions

Why did QuickBooks only import about 90 days of transactions?

When you connect a bank account, QuickBooks Online usually downloads only recent history, commonly around 90 days. How far back it can go depends on your bank. Anything older has to be uploaded from a file.

Can I upload a PDF bank statement directly to QuickBooks Online?

Intuit’s current help documentation says QuickBooks Online can extract transactions from an uploaded PDF or image statement using AI, as long as the statement is in English. Review every imported line and the ending balance before accepting, as with any automated extraction.

How do I avoid duplicate transactions?

Make the file you upload end the day before the first transaction your bank feed already imported. Overlapping dates are the most common cause of duplicates.

Does this work for QuickBooks Desktop?

Yes. A .QBO (Web Connect) file can be imported in QuickBooks Desktop under File → Utilities → Import → Web Connect Files.
